My client is the global CEO of a not for profit in the Events and Awards space. They are recognised as the largest, most prestigious marketing effectiveness awards in the world which set the benchmark for impact, globally. They are looking for a Senior Business Assistant/EA located in New York to join the team.

Administration
  • Manage the CEO’s time and provide administrative support to the CEO to include all internal and external communications, travel, expense report management and meeting preparations.
  • Serve as liaison between the CEO and management.
  • Manage information dissemination to the Board of Directors to include board communications and other content.
  • Must be proficient in MS Word and PowerPoint and demonstrate ability to create presentations in both applications and write on behalf of the CEO.
Governance
  • Manage Board of Directors’ nomination and election process with oversight from CEO.
  • Manage the meetings of the Board of Directors, Executive Committee, Governance and Nominating Committee, to include agenda development, supporting documentation, minutes, and annual reports.
  • Under the direction of the CEO, work with attorneys to change/add/enhance Board by-laws as necessary.
  • Serve as staff liaison to Board Ad hoc committees that include developing and managing timelines, scheduling calls and meetings, drafting agendas and supporting documents, and working with staff on Board related requests.
  • Plan meetings, agendas and gather updated across the organization
Operational
  • Maintain a tracker/scorecard for the CEO of all the key projects and deliverables
  • Maintain a daily log of checks received from sponsors, entrants and any other cash receipts related transaction.
  • Support ongoing program administration and customer service inquiries.
  • Support Finance and Administration on the upkeep of the office, maintaining supplies, managing offsite storage, conference call use and equipment.
  • Other duties as assigned by CEO.
 Skills
  • Excellent verbal and written communication skills. Strong organizational skills and detail oriented. Ability to interact with all levels of membership and staff; clear understanding of staff/member relationship is a must. Ability to manage constantly shifting priorities with flexibility and accuracy.
  • Program management experience and the ability to think ahead
  • High attention to detail and confidentiality as this person will be representing the CEO and organization and will be communicating with other senior executives
  • Ability to make happen or cope with technology changes as needed either in software or processes.
Education
  • Bachelor’s degree preferred or equivalent work experience.
